Customisable Volunteer Scheduling Emails

It would be incredibly useful to be able to send automated customisable email/SMS reminders to volunteers on certain teams/departments. We've found several situations in which it would be helpful to be able to send ministry-specific info/reminders to scheduled volunteers in certain ministry teams, but not have to send them to the entire team every week. Manually scheduling emails/SMS only works in a perfect world where people don't swap service dates, or in small churches where this is much more manageable. Having to remember to check if someone has scheduled email/SMS every time they can't serve on a scheduled date is unrealistic in our case, since we're the admin office for 5 area churches and have over 300 volunteers in total to manage. I would imagine other church admins would also find it helpful if this functionality existed.

We have several service types with different days and times. We'd very much like to be specific in our reminder content so that volunteers don't get confused if say there are 2 services happening on Friday and Sunday, and notification is set to go out 3 days prior for each of the services. Could you look into having a feature that ties volunteer reminder to a specific service rather than across all services? Thanks for considering!

Is it possible, if not, it would be fantastic, if I could select which services could have an automatic reminder. ie I'd like automatic reminder for my week day breakfast club volunteers, but not my Sunday Church service volunteers. Currently it looks like its a blanket option.

In fact, it is a great upgrade for Elvanto's SMS function! Right now, "Enable SMS" is a system-wide setting (in the screenshot): every scheduled volunteer will get the SMS. It's a great reminder; however, it also overwhelms people with many SMS if you are having multiple tasks or repeated task during a weekday.
Suggestion: Having "Disable SMS" available at:
- Sub-Department level (Settings / Departments / Sub-departments and Positions) or
- At Services Type Level (Dashboard / Services / Types).
This upgrade will help scale down large amount of SMS being send out (and received) as we continue to use/promote volunteer scheduling.

Having the opportunity to send automatic reminders to specific volunteer teams would be very helpful: Our music team leaders need to be reminded early so that they plan the music for the service. All other teamy only need one reminder 2-3 days prior.

It would be helpful to be able to adjust notification settings (like service reminder emails) by department, rather than having to turn them on or off for all volunteers. We have one department that prefers not to receive the notification emails, but can't turn it off for them without disabling email notifications for all volunteers.

Position Specific Messages for Volunteers

It would be extremely helpful to have position specific messages for volunteers in their volunteer request/ reminders that would appear in addition to the general reminder/request.
When you click Contact Volunteers there could be a button that says "Show Position Specific Message." This would turn this feature on. Then, on the next email page, below the general message, the position specifice messages would appear. These would be templates and we would have the ability to add an attachment. So each volunteer receives one message, but different volunteer roles will receive messages specific to their position.
For example, we like to remind our greeters to arrive at certain time and remember certain procedures and our childcare workers to remember a different set of procedures.
This feature would be very helpful for volunteers who need a quick reminder about their specific position.

This is also a problem when it comes to the "Notify when they've been scheduled". We have one department that likes to try to plan three months out, but another that does it on a weekly basis. It would be nice to select which department is able to notify someone when they are scheduled and the other department automatically push out their emails when they schedule someone.

It is a big yes from us on this. We have the same - various service types on different days and people who serve across those days in different ways. We want to be able to choose which services we do auto-reminders for and be more detailed in emails. There is immense confusion for people when there is not enough specificity in emails.
